Judges Dinner Coordinator

Time Estimate

  • 15 - 20 Hours a year

Overall Responsibility

  • Provide dinner for judges (75-100ea) at venue (Villa) on judging night

Support Required

  • Solicit at least 1 person to help that night


  • Help establish/update budget for judges dinner
  • Determine number of judges and help for judging night
  • Get quotes from caterers and review with Committee
  • Select caterer
  • Coordinate dinner on judging night
    • Dinner ready to be served no later than 6:30pm
  • Solicit donations for wine (usually 1 case red, 1 case white)
  • Solicit help and or provide desert (usually cookies)
  • Layout area and set-up for dinner
  • Purchase any supplies not provided by the caterer
    • Table clothes, plates, utensils, napkins, cups, coffee cups, coffee supplies, water pitchers, salt & pepper
  • Purchase/provide drinks
    • Lemonade, juice, water, Coffee (caf and decaf)
  • Provide recycle containers as needed
  • Optional: Table decorations/flowers
  • Get check from Treasurer if payment required that night


  • Create single wrap-up report outlining the caterer used, the costs, how everything went, and make recommendations for next year.
